How to implement Vanity URL and Vanity Email for Oracle Recruiting Cloud

In this article, we will look into how to enable the Vanity URL and Vanity Email for Oracle Recruiting Cloud.

  • Client Pods should be on 21C
  • The client should already be live with HCM

Vanity Email

By default, the From Email for all ORC notifications will be delivered from [email protected] and some of these emails might land on the spam or the candidate might think this email is spam if he is not aware of oracle cloud.

In order to avoid this scenario and provide customers with a personalized From Email, Oracle has provided an option to customize it. However, this feature is still under controlled availability as of the 21B release. Vanity Email is generally available from 21C.

You can use a vanity email to send email communications to external candidates. A vanity email is used to brand the “from email” to all external candidate communications.

With this new feature, you can create a branded email address that is friendlier and easy to read.

STEPS TO ENABLE

You can set up one vanity email for your organization. If your organization has multiple career sites, only one vanity email can be created.

To enable a vanity email, you need to:

  1. Create a profile option called IRC_VANITY_EMAIL_ENABLED.
  2. Enable the profile option IRC_VANITY_EMAIL_ENABLED
  3. Enable the vanity email.
  4. Configure the vanity email.

Step 1: Create Profile Option

You need to create a profile option called IRC_VANITY_EMAIL_ENABLED.

  1. In the Setup and Maintenance work area, search for the task Manage Profile Options
  2. On the Manage Profile Options page, click the Create icon. 
  3. On the Create Profile Option page, create the profile by entering these values: 
    • Profile Option Code: IRC_VANITY_EMAIL_ENABLED 
    • Profile Display Name: Vanity Email 
    • Application: Recruiting  
    • Module: Recruiting Common 
    • Description: Enable the vanity email feature in the Setup and Maintenance work area
    • Start Date: Today’s date 
  4. Click Save and Close

You’re back on the Manage Profile Options page and the profile option IRC_VANITY_EMAIL_ENABLED is displayed. You need to enable the profile option at the Site level.

  1. On the Manage Profile Options page, go to the Profile Option Levels section. 
  2. Set the profile option to be enabled and updatable at the Site level. 
  3. Click Save and Close

Step 2: Enable Profile Option

You need to enable the profile option IRC_VANITY_EMAIL_ENABLED so that the Vanity Email feature becomes available in the Recruiting and Candidate Experience offering.

  1. In the Setup and Maintenance work area, search for the task Manage Administrator Profile Values
  2. On the Manage Administrator Profile Values page, search for the profile option code IRC_VANITY_EMAIL_ENABLED
  3. In the Profile Values section, set the profile value to Y
  4. Click Save and Close

Step 3: Enable the Vanity Email

You must define the vanity email address and its display name.

  1. In the Setup and Maintenance work area, go to:
    • Offering: Recruiting and Candidate Experience
    • Functional Area: Recruiting and Candidate Experience Management
    • Task: Enterprise Recruiting and Candidate Experience Information
  2. In the Vanity Email section, select Active.
  3. Enter the vanity email address. Example: [email protected]
  4. Enter the display name. Example: Fusion HCM KB Careers
  5. Click Save and Close.

Step 4: Configure the Vanity Email

You must set up a Sender Policy Framework (SPF) policy on your domain to ensure that your outbound email is delivered successfully to the external candidates.

To enable Oracle to send out an email on your behalf, you must set up an SPF policy on your domain as an authentication mechanism. The exact method of setting up an SPF policy varies from one domain provider to another. For example, v=spf1 include:spf_c.oraclecloud.com ~all. As an example, after this SPF policy changes, the candidate will receive an email with the “from email” being “Fusion HCM KB Careers<[email protected]>

You must contact your IT department to add the SPF rule when you want to use the Vanity Email. You must add this rule in your email server to let Oracle’s pod email send emails on your behalf.

Make sure to raise an SR with “OR-Vanity-Email” to get the ticket assigned to the right team.

Once the SR is reviewed and approved, the Oracle support team will assist and send documentation to configure the Vanity Email. Once configured, the From email will be changed to the vanity email that we configure for all ORC-related notifications to candidates. This functionality won’t impact other notifications for Core HR, Absence, etc.

Vanity URL

As part of Recruiting configuration, we will also set up the External Career site where the candidates will search for jobs and apply for them.

By default, the external career site URL will look like https://abcd-dev1.fa.us6.oraclecloud.com/hcmUI/CandidateExperience/en/sites/CX_4

However, the hyperlink might look a bit odd when it has been embedded on the company website where all hyperlinks will be organized in a structured manner. Ex: www.company.com/careers.

Many customers wanted a provision to create a Vanity URL which internally points to the external career site and the candidate will not even know that he has moved to oracle cloud external careers page.

Oracle has introduced the Vanity URL under controlled availability as of 21B release.

Make sure to raise an SR with “OR-Vanity-URL” to get the ticket assigned to the right team.

Once the SR is reviewed and approved, the Oracle support team will assist and send documentation to configure the Vanity URL.
